This Privacy Policy explains how portalsgo.click (Kabushiki Kaisha (K.K.)) ("we", "us") handles personal information in connection with portalsgo.click (the "Service"). It is intended to satisfy the Act on the Protection of Personal Information (Act No. 57 of 2003) ("APPI"), including APPI Article 17 and APPI Article 18 (purpose of use notice).
1) Personal information we may collect
- Account and contact data (name, company, email, phone).
- Authentication and access data (login credentials, MFA details, device/browser data, IP address, logs).
- Client tax documents and related identifiers provided by you for the Service.
- Support communications and inquiry records.
My Number (specific personal information): We do not request My Number unless strictly necessary for a legally permitted purpose, and we limit handling and safeguards in accordance with the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (Act No. 27 of 2013).
2) Purposes of use
We use personal information only to the extent necessary for: (a) providing and operating the Service, (b) identity/authentication and security, (c) processing and managing documents you submit, (d) billing and account administration, (e) customer support and incident response, (f) improving the Service, (g) compliance with law and preventing fraud. We will provide purpose-of-use notice at or before collection and handle data consistent with APPI Article 17 and APPI Article 18.
3) Sharing and transfers
We may share personal information with service providers (e.g., hosting, security, customer support tools) under appropriate contractual and operational controls. For transfers to third parties, we follow APPI Article 27 (including obtaining consent where required, unless an exception applies). If we use vendors that process data outside Japan, cross-border transfer requirements and disclosures are handled in accordance with APPI Article 28.
4) Outward transmission (cookies/SDKs)
If we use third-party tags/SDKs that transmit device identifiers or related data to third parties (e.g., analytics/advertising measurement), we will provide advance notice/public disclosure describing what is sent, to whom, and the purpose, in accordance with Telecommunications Business Act (Act No. 86 of 1984), Article 27-12. We aim to avoid including sensitive data in URLs and do not intentionally send tax-document contents via tags.
5) Security
We implement reasonable organizational, technical, and physical safeguards (access controls, encryption in transit where feasible, logging/monitoring, and least-privilege administration). For any My Number-related materials, we apply heightened controls consistent with the Numbers Use Act (Act No. 27 of 2013).
6) Retention
We retain personal information for as long as needed for the purposes above, to meet legal/accounting obligations, and to resolve disputes, then delete or anonymize it where appropriate.
7) Your requests
You may contact us to request access, correction, deletion, or suspension of use/transfer where applicable under APPI. We may need to verify your identity before responding.
8) Marketing emails
If we send newsletters or promotional emails, we will provide sender identification and an unsubscribe method consistent with the Act on Regulation of Transmission of Specified Electronic Mail.
